Client Services Officer

Fluid Business Advisory

Cairns North, Cairns & Far North QLD
Full-time

Are you an experienced accounting administration professional who enjoys keeping things organised, supporting accountants, and helping clients feel genuinely looked after?

Fluid Business Advisory is looking for a capable and professional Client Services Officer to join our Cairns-based team. This is a largely administrative role, ideally suited to someone with previous experience working in an accounting firm or public practice environment.

You will play an important role in supporting our accountants, coordinating client information, managing administrative workflows, and helping ensure work is completed accurately, efficiently and on time.

About us

Fluid Business Advisory is a forward-thinking accounting, taxation, bookkeeping and business advisory firm supporting small-to-medium businesses across Cairns and Australia.

We work closely with business owners to provide practical advice, accurate reporting, strong systems and reliable support. Our team values open communication, collaboration, continuous improvement, problem solving and a commitment to excellence.

This role is ideal for someone who enjoys being part of a professional team, takes pride in accuracy, and understands the importance of great client service in an accounting environment.

About the role

As our Client Services Officer, you will provide high-quality administrative support to our accounting team and clients. You will help coordinate client documentation, manage follow-ups, support lodgement and compliance processes, and ensure client records and workflows are kept up to date.

This is not an accounting role, and you will not be required to prepare tax returns or interpret accounting figures. However, you will need to be confident working with accounting terminology, client documents, deadlines, ATO correspondence and administrative processes within an accounting practice.

Key responsibilities

Your day-to-day duties will include:

  • Liaising with clients to request, follow up and collate information required by accountants

  • Assisting accountants with client follow-up reminders, signed documents and outstanding queries

  • Preparing and coordinating client documents, letters, reports and information packs

  • Creating and maintaining jobs in workflow systems

  • Supporting lodgement processes and deadline management

  • Assisting with ATO correspondence, phone calls and administrative follow-up

  • Coordinating the distribution of BAS, IAS, tax payment reminders and other client communications

  • Maintaining accurate client records across relevant systems

  • Preparing, scanning, filing, saving and uploading client documents

  • Assisting with client onboarding, contact detail updates and administrative procedures

  • Handling incoming and outgoing mail, couriers and general office administration

  • Providing relief reception support, including answering phones and greeting clients when required

  • Supporting the broader team with administrative tasks as needed

About you

To be successful in this role, you will need to be highly organised, detail-focused and comfortable working in a busy professional services environment.

You will bring:

  • Previous experience in accounting administration, public practice administration or a similar accounting support role

  • Excellent attention to detail and accuracy

  • Strong written and verbal communication skills

  • A confident, professional and friendly manner with clients and team members

  • Strong time management skills and the ability to manage competing priorities

  • A high level of confidentiality, ethics and professionalism

  • Good working knowledge of Microsoft Outlook, Word and Excel

  • Confidence using technology, client databases and workflow systems

  • A practical, common-sense approach to problem solving

  • A positive attitude and willingness to support the team

Experience with accounting practice systems, ATO portals, ASIC processes, client lodgements or document management systems will be highly regarded.

Why join Fluid Business Advisory?

This is a great opportunity to join a supportive and professional accounting firm where your administration skills will make a genuine difference.

You will be part of a team that values accuracy, communication, continuous improvement and exceptional client service. Your work will help accountants stay focused on delivering quality advice while ensuring clients receive timely, organised and professional support.

This role may suit you if you are:

  • An experienced client services administrator in an accounting firm

  • An accounting receptionist or administrator ready to move into a broader client services role

  • A highly organised professional who enjoys being the administrative link between clients and accountants
